Introduction EVENT MANAGEMENT SERVICES FOR HERAFCFTA REGIONAL CONFERENCE UNDP Nigeria is seeking the services of an event management firm based in Abuja with demonstrable experience in executing similar events of the nature stipulated in the TOR. The firm will be expected to provide end-to-end event management. The scope includes, but is not limited to: 1. Event Planning & Management •Develop a comprehensive, Lot-specific Event Management Plan covering all logistical coordination, operational requirements, staffing arrangements and contingency measures. •Prepare detailed event run-of-show schedules and stakeholder engagement plans. •Design and execute venue layout, stage configuration, traffic flow, and production setup in coordination with UNDP and the host institution. •Advise on branding requirements, including banners, backdrops and souvenirs (to be produced by UNDP communications team). •Provide, install and manage all technical production requirements, including stage, lighting, sound systems, LED screens, audiovisual equipment, and interpretation services where applicable. •Coordinate guest management, RSVP processes, VIP/protocol handling, ushering, and liaison with security personnel. •Develop and implement a comprehensive risk management and contingency plan for each event. •Provide on-site event coordination, and supervision throughout set-up, event day, and breakdown. •Install all branding elements at the venue no later than 24 hours before the event. 2. Post-Event Reporting • Prepare and submit a comprehensive Post-Event Report within 7 calendar days of each event, covering: attendance figures, stakeholder profiles, lessons learned, challenges encountered and recommendations. • Provide a complete handover of all branded materials, media assets, and event documentation to UNDP upon assignment completion.
