DESCRIPTION: Global Affairs Canada (GAC) is responsible for the overall coordination and all logistics of the Ministers’ Meeting. The event is expected to host approximately 150 participants. The objective of this RFP is to secure a venue in the Montreal region, Quebec, that can accommodate all event activities in a single location, including meeting spaces, accommodations and hospitality services for delegates and staff from December 7 to December 9, 2025. Closing Date: To be considered, your proposal must be received no later than 3 p.m. EDT on October 1, 2025 with a reference to tender file #7470007-A. Note to Bidders: Please be advised that any proposals submitted under solicitation number 7470007 will not be considered for fulfilling the requirements of the new Request for Proposal 7470007-A. Bidders are required to submit a new proposal in response to 7470007-A in accordance with its specific terms and conditions. Interested proponents must not contact any other employee of Global Affairs Canada (GAC), or other persons involved in this solicitation to discuss questions regarding the RFP. Non-compliance with this requirement during the solicitation period may, for that reason alone, result in disqualification of a proponent. All enquiries must be submitted in writing by e-mail to the Contracting Authority no later than 5 calendar days before the RFP closing date and time in order to be considered by GAC. Throughout the RFP bidding process, GAC shall endeavour to provide responses to inquiries (by the issuance of addenda) deemed relevant by GAC and received in writing by the Contracting Authority. Only information provided in addenda shall be an integral part of the RFP and any resulting contract. All addenda will be posted on Tender opportunities | CanadaBuys. RETURN PROPOSALS TO: Global Affairs Canada by email at micheline.al-koutsi@international.gc.ca. Note: The bid email has a maximum capacity of 30 megabytes. Proponent may divide the technical submission into several emails (ie. email 1A, 1B, 1C, etc.) to stay within the 30 megabytes limit per email. Faxed and hard copy (submitted in person or via mail/courier) bids will not be accepted for the subject bid solicitation. There is no public opening scheduled. BASIS OF SELECTION: Canada will make its selection based on the compliant offer with the highest combined rating of technical merit and price for award.
